1. Information We Collect
Kairova collects the following information to provide our service:
- Account information (email, name) via Google Sign-In and Apple Sign-In
- Schedule data (tasks, blocks, preferences)
- Focus session data (start/end time, duration, completion state)
- Focus presence fields for social features (`isFocusing`, `focusEndsAt`, `focusTier`)
- Social safety records (reports, block relationships, moderation outcomes)
- Usage data (completed tasks, progress)
- Optional schedule-quality feedback, including thumbs ratings, selected reasons, and any note you choose to submit
2. How We Use Your Data
We use your data to:
- Generate personalized schedules
- Track your progress and achievements
- Sync data across your devices
- Show focus presence to friends and support co-focus interactions
- Enforce social safety actions such as report/block/unfriend
- Improve our services
- Personalize future schedules using structured schedule-quality feedback
3. Data Storage
Your data is stored securely using Firebase (Google Cloud Platform). We implement industry-standard security measures including encryption in transit and at rest.
4. Data Sharing
We do not sell your personal data. We may share data with:
- Firebase for authentication and storage
- Google Places API for location and point-of-interest suggestions
- Friends you approve, limited to social presence and activity context needed for features
5. Third-Party AI Services
Kairova uses third-party AI services to power schedule generation, image scanning, voice chat, and other intelligent features. Before any personal data is sent to these services, the app requests your explicit consent. You can revoke consent at any time in Settings. The following AI providers may process your data:
- Google Gemini (Google LLC) — Image analysis, text processing, voice chat, and selected app intelligence features.
- OpenRouter (OpenRouter, Inc.) — Scheduler transport for routed AI generation requests, including selected upstream models such as xAI Grok and the OpenRouter Gemini fallback.
- ModelsLab — AI avatar image generation for Pro and Ultra subscribers.
Data sent to AI providers includes profile information, activities, calendar events, and content you provide (such as images for Smart Scan, voice queries, or text descriptions for AI avatar generation). Kairova uses these providers only to deliver app features and does not use your data to train its own AI models. OpenRouter-routed scheduler requests may be forwarded to the selected upstream model provider needed to answer your request.
6. Camera and Smart Scan Processing
Smart Scan lets Ultra users analyze fridge, pantry, recipe, and workout inputs with AI. For image-based scans, the selected image is sent securely to our backend and AI provider for processing.
- We do not store raw scan images in your notes or profile data
- We store only extracted results and summaries you keep in Notes
- You can delete those saved notes at any time from the app
7. Schedule Feedback and Personalization
Your feedback helps improve future schedules. Schedule-quality feedback is linked to your account and may be used to personalize future schedules and review product quality.
- Feedback is stored with your account and week scope so future schedules can learn from similar weeks
- Selected reasons may influence future schedule pacing, timing, and buffer behavior for you
- Optional notes may be reviewed by Kairova admins for quality review.
- In this version, freeform feedback notes are not used to train third-party AI models.
8. Your Rights
You have the right to:
- Access your personal data
- Request deletion of your account data
- Request an export of your account data
- Revoke AI consent from Settings at any time
9. Retention and Deletion
We keep data only as long as needed for product operations, legal obligations, and user safety. Retention windows are reviewed periodically and may be shortened as systems evolve.
- Active account profile and planning data: retained while your account is active
- Focus/social presence fields: retained as active state plus operational history
- Reports and moderation records: retained for safety investigations and abuse prevention
- Blocked-user relationships and inbox cleanup artifacts: retained to enforce safety decisions
- Schedule-quality feedback: retained while your account is active or until you reset learning / delete your account
You can delete your account directly in the app from Settings → Terminate Identity. If you need an access or export request, contact privacy@kairova.app. When deletion is confirmed, we remove account data, clear your authenticated session, and remove or anonymize remaining records where legally required.
